Operations Overview

IT operations refers to a set of processes and services provided by a business's IT department to support the business' IT hardware and software. Manager includes features that support IT operations for Temenos Journey Manager (TJM) solutions. These features allow you to manage and keep track of all transactions associated with user form submissions.

The IT operations activities fall into the following main categories:

Let's look at each of these activities in more detail.

Transactions Search

Manager logs and stores all transactions pertinent to users' interaction with forms for a specified period of time after which the eligible transactions and their data are deleted from the system. It allows you to search for transactions to track specific details of user form submissions. This is the most common task that a Journey Support Team performs to troubleshoot any form-related issues.

When an issue is identified, you may want to resolve or mitigate it by performing some manual operations. This typically involves changing a transaction's status so an onboarding flow can continue.

Note

Each transaction goes through a well-defined sequence of status changes, so we recommend understanding Submission Life Cycle before changing its status.

Another common case is when a transaction get stuck for some reason, so you have to configure form abandonment or abandon it manually for the transaction to be purged. This is critical to ensure optimal system performance over time.

Most onboarding journey forms are complex single-page applications that rely on collaboration jobs to guide users through the form flows to the final step when they submit a form and form data is delivered. There can be several collaboration jobs created for each form submission so you may need to view their configurations to troubleshoot them.

You will be performing the abovementioned maintenance activities on a regular basis, so Manager groups them together and they are available from the Operations menu. They are listed below:

System Check

Manager is equipped with the Home Dashboard allowing you to see the latest transactions and their details, and statuses in particular, to understand if anything needs to be done. From there, you can quickly drill down into the following transaction data:

Another important feature of the Home Dashboard is the System Issues card that lists 5 latest system events that are of importance to overall performance, stability and maintainability of the system. Click the relevant event ID to get more information and action accordingly. Some important services, which run in the background, log events that you may need to review and react to them. The important ones are Database Integrity Checker and Data Retention Management services.

Manager provides the following tools to keep an eye on the server performance:

Manager constantly collects crucial system stats and metrics and you should review them periodically. They are grouped under the System menu:

Quite often, you may need to know a server version and a build number to see if any issues are caused by a particular Manager release version. If you require more details, you can find them in System Info. In some cases, you may want to know what 3rd-party libraries our software uses.

Logs Check

Manager generates a significant amount of log to make debugging issues easier. This is especially important to troubleshoot services, Transact functions and collaboration jobs. However, it's important to understand that excessive logging can have a detrimental impact on the system performance.

While investigating an issue, such as a service error or system fault, you may be requited to check the following logs:

Manager logs all changes made to the system and its configuration into the Audit Log, so you may need to use it now and then. Another important log is the Security Manager Log where user authentication and authorization activities are recorded.

Data Retention Check

The Temenos Journey Manager platform is a System of EngagementSystems of Engagement (SoE) is the technology used by an organization to help facilitate and orchestrate the customer journey via more personalized, seamless interactions across the various touchpoints. These include social media channels, email marketing platforms, mobile apps, and content management systems. that enables you to create onboarding journeys for many types of products. It's strictly designed to store onboarding data for a short period of time, just long enough for a customer to complete their applications, and uses functionality, such as a configurable Data Retention policy to keep the amount of stored data low at any given time.

Temenos Journey Manager is not intended to be used as a System of RecordSystem of Record (SOR) is an ISRS (information storage and retrieval system) that is the authoritative source for a particular data element in a system containing multiple sources of the same element. To ensure data integrity, there must be one -- and only one -- system of record for a given piece of information. that stores large amount of data as this can affect system performance.

This means you must pay special attention to data retention configuration and check whether data has been purged as desired or not. It's instrumental in maintaining optimal system performance, so you need to act promptly if any abnormalities are found. Any changes to the data retention configurations must be noted and investigated, especially for the Data Retention Management the Data Retention Management v2 services.

Configurations Check

Manager lets you keep track of what is happening to the system and whether any changes have been made to its configuration and by whom. If you suspect the system performance and operation impacted by a recent configuration change, you should take a look at the Audit Log and use the Update operation filter to search for possible incorrect changes.

Warning

We don't recommend deleting organizations, form spaces, core services, service connections, scheduled jobs, and security managers without proper analysis of possible impact to system data, especially transactions and form submissions in-flight.
