Warning

The Work Space form space has been renamed to Journey Space, so there is no confusion with the Workspaces portal. The Context Path URL has also been changed from https://my-domain.com/workspace/ to https://my-domain.com/journeyspace/.

For the changes to take effect, you need to have a fresh installation of Manager or the Journey Space form space. If you only upgrade Manager, you still have the old Work Space name with the old Context Path URL as https://my-domain.com/workspace/.  |   23.10This feature was updated in 23.10.

Manager comes with a Journey Space web application deployed as a specialized form space, which allows users and business staff to perform the following actions:

  • Work with tasks and collaboration jobs.
  • Complete and review forms.
  • Access draft and saved forms.
  • Provide help desk support.

Usually, a form is hosted as an unsecured page on the form space. An anonymous user must provide an email address when filling the form. Manager relies on this email to send status updates and saved transactions, and assign tasks back to the user. Additionally, one of the form fields can be used to provide a security challenge question, which the user must enter to open a saved form or anonymous task created by a collaboration job. However, Journey Space can be configured to apply various user authentication flows, including 2FATwo-factor authentication (2FA), sometimes referred to as two-step verification or dual factor authentication, is a security process in which the user provides two different authentication factors to verify themselves to better protect both the user's credentials and the resources the user can access. Two-factor authentication provides a higher level of assurance than authentication methods that depend on single-factor authentication (SFA), in which the user provides only one factor -- typically a password or passcode. Two-factor authentication methods rely on users providing a password as well as a second factor, usually either a security token or a biometric factor like a fingerprint or facial scan., to strengthen its security. In this case, you need to log in to use the web application.

Journey Space provides users with the following views:

  • Home is the Journey Space dashboard.
  • Forms allows you to find and select from the list of available forms.
  • Tasks allows you to complete your outstanding forms and tasks.
  • History provides you with the history view of forms you have submitted and their processing status.
  • Reviews allows you to search for review and approval collaboration jobs.
  • Help Desk allows you to search for forms saved or completed by your customers.
  • Account allows you to edit your account settings and change your password.

Journey Space is generally used for dealing with authenticated user transactions, but it also supports unauthenticated anonymous transactions. These permissions must be configured in Manager.

You should configure the group's permission to edit tasks, claim, assign and return them to a group in order to start using Journey Space. Manager provides several authenticated user roles for the Journey Space portal.
