Configure Form Data Retention

Manager applies global data retention policies, defined for the entire server or individual organizations, to its forms. However, you can customize transaction retention policies on the form level, for example, saved and finished transaction's PIIPersonally Identifiable Information (PII) is information about an individual that can be used to distinguish or trace an individual‘s identity, such as name, social security number, date and place of birth, mother‘s maiden name, or biometric records; and any other information that is linked to an individual. data. These settings then apply to all submissions made for this form.

To configure form data retention:

1. Select Forms > Forms.
2. Locate a form and click Edit.
3. Select the Details tab to check and edit data retention policies in the Transaction Data Retention Policies section.

   

   Note

   You can only update this configuration if the Enforce System/Org Thresholds checkbox in the Retention Settings tab is selected and no values have been entered for each of these settings.

4. Edit Saved Transactions with a value which must not exceed the configured Saved Transactions organization's threshold, or the global threshold. In this example, the value must not exceed the system active threshold of 30 days.
   Note

   You can also configured the saved transaction threshold from the Abandonment tab of a form.

5. Edit Finished Transaction PII Data with a value which must not exceed the Finished Transaction PII Data organization's threshold, or  the global threshold. In this example, the value must not exceed the organization active threshold of 4 days.
   Note

   If theEnforce System/Org Thresholds checkbox in the Retention Settings tab is not selected, no default values are provided, and different constraints apply. To override the global or organization data retention configuration:

   • Edit Saved Transactions with a value which must not exceed the maximum value for the Saved Transaction setting of the data retention management policy, which is 180 days for a strict mode and 730 days (2 years) for a relaxed mode.
   • Edit Finished Transaction PII Data with a value which must not exceed the maximum value for the Finished Transaction PII Data setting of the data retention management policy, which is 30 days for a strict mode and 730 days (2 years) for a relaxed mode.

6. Delete Form Data Extracts for relaxed mode only.  |  5.1 This feature was removed in 5.1
7. Click Save to update the changes.
